Archival of every filing system Organise your files into one central electronic archive where they can be accessed by all administrative staff.
Normally an archive should be a working filing system, a store of information and important business transactions to which every authorised member of staff has rapid access. But paper-based archives for old documents can have their pitfalls. Walls are lined by the metre with shelves of documents sized up to A0 which are virtually impossible to organise into any standardised system. It costs time and money to walk to the filing system and there are no guarantees that things will be put back where they belong. Nevertheless, it is a fact that old files, such as bookkeeping records, are kept for many years either for one's own purposes or because official regulations so dictate. The archives grow and it takes longer and longer to find individual documents. Thankfully, since the arrival of the DMS, more recent documents are stored in electronic form, but the mixed media archives which are generated in this way need a great deal of organisation and management.
Old or new? Synergy is the watchword.
The file digitisation service supplied by IMR will provide you with all conceivable options. Our services begin where your contractual documents are stored, such as the actual shelf system. We pick up all your documents, digitise and index them to your specifications and provide them in the required format at the correct interfaces for further processing in the document management system. Old and new files come together and merge in perfect synergy. IMR boasts many performance features over and above the standard service, such as the input of different sizes of documents, even documents which are stapled or stitched together, in all formats and with any photographs - keeping the documents in the original order in any given case. OCR technology is used to scan the full textual content for direct searches, e.g. in PDF file format. You can also have the documents individually indexed, if required, which is useful later for automated searches, e.g. with file type, document type, scan date - the options are virtually unlimited. The more indexes, the further you can extend any searches at a later date. At the end of our service chain you decide if you want us to arrange for the documents to undergo a certified destruction process, if you want us to put them back on the shelf, or whether you would prefer one of our alternative storage options.
Cost-effective DVD-based search system
Alternatively IMR can supply you with a cost-effective search system on DVD with a volume of approximately 80,000 DIN A4 pages in DIN A4 format. This archive system allows you to conduct your own searches and reproductions of smaller volumes of approximately 80,000 pages per DVD. The documents and images stored and indexed on the DVDs can be easily migrated to other archive systems at any time.
